Project Management Specialist – Translation (Law Firm)
Job Description
Vortex Strategy & Recruitment is actively seeking a Project Management Specialist – Translation for its client, a highly reputable international law firm based in downtown Montreal.
Your Role and Responsibilities
Project Management: Manage translation requests – prepare translation projects by analyzing received files, prepare quotes, assign projects in accordance with internal guidelines, communicate with clients and external service providers, follow up on projects sent externally, and keep billing information up to date.
Administrative Support: Provide administrative support to the Linguistic Services management team, particularly with respect to billing and ad hoc requests.
AI Platforms, CAT Tools and TMS: Oversee the maintenance of AI platforms, CAT tools, terminology databases, and Translation Management Systems (TMS).
AI-Assisted Translation and Automation: Use AI tools to generate AI-assisted translations and identify opportunities for process automation and workflow optimization to increase efficiency; ensure the maintenance and updating of internal and vendor terminology databases and translation memories.
Project Preparation: Retrieve precedents, convert documents, prepare comparison documents, and gather relevant documents from SEDAR, Avantis Ai, and client websites; prepare pre-translations and bitexts using CAT tools and AI platforms; assist team members in using client platforms such as Workiva and ActiveDisclosure.
Data Analytics and Process Improvement: Contribute to continuous process improvement efforts and produce operational reports to support decision-making.
Training and Onboarding: Contribute to the training and onboarding of resources regarding existing and upcoming tools/platforms and document best practices.
Desktop Publishing and Layout: Provide desktop publishing and document formatting support to department members.
Requirements
Degree in Translation (or a related field) or in Language Technologies (or a related field), or College Diploma in Office Administration (or equivalent experience)
3 to 5 years of proven experience in project management or coordination within a language services department
Experience with AI-assisted translation tools, CAT tools, and Translation Management Systems (TMS)
Understanding of automation processes and workflow optimization
Experience within a law firm or professional services environment, an asset
Ability to interact and collaborate with external clients and firm members
Proficiency in the Microsoft Office Suite (Word, Excel, PowerPoint, Visio), including advanced features (styles, cross-references, multi-level numbering, and creation of tables, charts, and diagrams), an asset
Knowledge of platforms such as SEDAR, Avantis Ai, ActiveDisclosure, and Workiva
Strong organizational skills and solid time management abilities
Excellent communication skills in French and English, both spoken and written
Ability to work outside normal business hours as needed
Strong team spirit and demonstrated ability to collaborate effectively
Ability to work under pressure and manage multiple priorities simultaneously
Quick learner with a high level of autonomy
