Vortex Strategy & Recruitment is actively seeking a Corporate Services Manager for its client, an internationally renowned law firm based in downtown Montreal.
The Manager, Corporate Services, will oversee the daily operations of the Corporate Services department, including leading, managing, and providing guidance to paralegals and administrative assistants. In this role, the individual will play a key part in client and file management, acting as a subject matter expert and mentor for complex requests, escalations, and corporate services group projects.
The selected candidate must possess the required skills and a strong interest in corporate finance, mergers and acquisitions, as well as tax and securities law.
Your Role and Responsibilities
Provide high-level operational, strategic, and administrative support to the Corporate Services department;
Manage work allocation and workflow for the department’s paralegals and legal administrative assistants;
Manage talent within the Corporate Services department, including training and development, performance management, team dynamics, onboarding, and recruitment;
Act as a mentor and support paralegals and legal administrative assistants in their day-to-day client work;
Lead teams on major national and provincial projects, including but not limited to process standardization and transformation, practice group digitization, and the support and implementation of practice-specific systems;
Ensure the creation, management, and production of reports providing insights into performance, trends, and gaps across various operational and project activities within the department;
Collaborate with national teams to implement legislative changes within the Corporate Services department to ensure compliance with federal and provincial business law requirements;
Manage a portfolio of client mandates with a reduced annual billable hours target;
Attend meetings with professionals and clients to receive instructions, gather required information, review corporate records, compile data, report on progress, and recommend next steps;
Participate in closings, transactions, and the management of major projects;
Assist in the preparation of all required documentation related to Corporate Services mandates;
Perform any other related duties as required.
Requirements
Diploma of College Studies (DCS) in Paralegal Technology;
Eight years of proven experience in corporate finance, mergers and acquisitions, tax, and securities law, with three years of supervisory experience considered an asset;
Experience with the Athennian platform is an asset;
Ability to communicate effectively with the Corporate Services department, Business Law group leaders, and other firm members, with strong business acumen to understand, assess, and respond to client needs in a courteous and professional manner;
Proven ability to build strong relationships, develop in-depth industry knowledge, and deliver proactive and responsive solutions to meet business needs;
Excellent interpersonal skills and a demonstrated ability to motivate others, foster collaboration, and act as a mentor;
Ability to work under tight deadlines and manage time effectively;
Strong organizational, prioritization, and teamwork skills;
Excellent problem-solving skills, including the ability to prioritize while managing multiple and emerging priorities within the department.
