Vortex Strategy & Recruitment is actively seeking a Legal Assistant in Financial Services for its client, a highly reputable national law firm based in downtown Montreal.
You will contribute to the management of the practices of three legal professionals by providing administrative and secretarial support, enabling them to deliver better service to clients.
Your Role and Responsibilities
Proofread and format documents (letters, memos, file notes, opinions, procedures, etc.);
Transcribe documents from handwritten notes and/or telephone messages;
Compare documents using Litera Compare;
Update client lists;
Photocopy and request various printing and document scanning services;
Communicate directly with other legal professionals in the absence of supervising lawyers;
Prepare materials when the legal professional is presenting (PowerPoint);
Open new files;
Follow up on internal and external calls as required;
Manage the legal professional’s calendar;
Manage emails;
Search, enter, and update data in OnePlace;
Book travel, cars, hotels, and restaurants;
Reserve conference rooms for meetings, videoconferences, and client meetings;
Order meals, beverages, and other items;
Prepare conflict check requests and forward them to the appropriate parties;
Perform daily follow-up on time entries and enter or revise them in the system;
Review and validate time entries on a weekly and monthly basis;
Prepare monthly billing;
Prepare expense reports, obtain approval when required, and follow up;
Prepare requests for cheques or bank transfers from the trust account;
Assist other legal professionals as well as assistants within the department (or other departments) as required;
Assist students and trainees as required;
Administer oaths for lawyers and clients.
Requirements
Minimum of 5 years of experience as a legal assistant in financial services within a law firm;
Bilingualism (oral and written) is required, as the incumbent will be part of a national team serving clients both internally and externally across Canada and internationally;
Strong organizational skills to manage multiple tasks;
Ability to take initiative and work independently with minimal supervision;
Knowledge of legal procedures and practices;
Strong verbal and written communication skills in both languages;
Proficiency in office software;
Ability to work in a team;
Attention to detail.
