Job Description

Vortex Strategy & Recruitment is actively seeking a Corporate Legal Assistant for its client, a major national law firm based in downtown Montreal.

The successful candidate must have a minimum of 3 years of experience as a Corporate Legal Assistant within a law firm. Our client is also open to hiring a senior-level candidate for this position. This individual would begin their career with our client in the Tax group before transitioning to the Business Law group around 2027. This is a permanent, full-time position.

Your Role and Responsibilities

  • Organize and expedite workflow in the professional’s office, taking appropriate follow-up actions.

  • Prepare legal documents with little or no instruction based on general precedents or the professional’s directions.

  • Letters, memos, etc. of a confidential nature, which may be drafted independently for supervisor review or prepared from dictation or hard copy.

  • Liaise between various individuals, groups, and the professional’s internal and external clients at all levels.

  • Transmit or respond to routine correspondence not requiring the professional’s attention.

  • Manage the reminder system or calendar database to ensure important deadlines are met.

  • Prepare special reports, which may include collecting, analyzing, and summarizing data.

  • Demonstrate initiative and judgment to relieve the professional of administrative tasks.

  • Create, control, and maintain client files for improved file management and client service.

  • Coordinate administrative tasks such as accounting, file opening and closing, requisition forms, billing, etc.

Requirements

  • A diploma in Legal Secretarial Studies will be considered an asset;

  • Minimum of 3 years of experience as a Corporate Legal Assistant within a law firm;

  • Ability to manage multiple priority files simultaneously while meeting deadlines;

  • Mandatory bilingualism (spoken and written French and English);

  • Strong prioritization skills and solid organizational abilities;

  • Exemplary team spirit;

  • Ability to work with individuals at all levels of a large organization;

  • Ability to exercise discretion when handling confidential information;

  • Produce high-quality and high-volume work, sometimes under tight deadlines;

  • Ability to work in a fast-paced and dynamic environment;

  • Strong analytical and problem-solving skills;

  • Proficiency in Microsoft Office Suite
