Job Description
Vortex Strategy & Recruitment is actively seeking an Administrative Assistant for its client, a major international law firm based in downtown Montreal.
The successful candidate will have the primary responsibility of supporting professionals in their daily administrative tasks and ensuring the smooth running of administrative activities. No legal tasks are associated with this role.
Your role and responsibilities
Assist banking and finance lawyers with their administrative tasks;
Provide various administrative support including filing, reminder systems, correspondence, emails, telephone communications, meeting organization (including catering), client relations, and file archiving;
Handle billing and follow up with clients regarding invoices;
Review and validate time entries on a weekly and monthly basis;
Manage professionals’ calendars;
Manage emails;
Perform any other related administrative tasks;
Requirements
Minimum of 3 years of experience in a similar position within a large corporate organization or professional services firm;
Ability to manage multiple priority files simultaneously while meeting deadlines;
Bilingualism required (spoken and written French and English);
Excellent writing skills in both languages;
Strong prioritization and organizational skills;
Excellent team spirit;
Ability to work with individuals at all levels of a large organization;
Ability to work in a fast-paced and dynamic environment;
Strong analytical and problem-solving skills;
